An established Singapore-based private equity firm is hiring an Executive Assistant to support select members of its investment team. This is a team EA seat — not a single-principal household PA role — and sits alongside the wider EA bench in a collegial, cover-each-other model.
The role reports into the Office Manager and works alongside a lean Singapore team based in the CBD. The seat is on-site and built for someone who wants ownership across a wider remit than a typical EA role: executive support, day-to-day office operations, and light IT and systems administration all sit under this hat.
This is a hire for someone who treats the office like their own — the kind of person an investment team comes to know and trust as the operational backbone of the firm.
You will provide secretariat support to select members of the investment team, alongside shared office operations and basic IT administration. The remit splits across three areas.
Executive support to the investment team- Calendar coordination, scheduling, and meeting logistics for the team members you support
- Travel arrangements, including itineraries and last-minute changes as plans shift
- Expense submissions and receipt reconciliation
- Maintaining and updating contacts and address books
- Occasional preparation of presentation materials and briefing notes
- Receiving visitors and preparing meeting rooms
- Procurement and replenishment of office supplies
- Liaising with building management on office maintenance, season parking, and facilities upkeep
- Arranging courier and delivery services
- Ad-hoc office administration, including BCP support and offsite planning
- Basic troubleshooting for office equipment, printers, meeting room systems, and user access issues
- Coordination with external IT vendors and service providers on installations, servicing, and replacements
- IT setup support for new joiners
- Maintaining inventory records of office IT equipment and assets
- Maintaining IT documentation, user access records, and system subscriptions or licences
The seat is high-trust. You will handle confidential information across the team day in and day out, so discretion is non-negotiable.
What Makes You a Fit
You have spent at least five years in a true Executive Assistant capacity, ideally as a team EA supporting more than one executive in a fast-paced environment — private equity, asset management, family office, hedge fund, or boutique investment bank is a strong plus. You understand the rhythm of an investment team and can read when a calendar needs defending, when a flight needs rebooking before anyone has asked, and when to escalate.
You carry yourself well. Polished, articulate, and quietly confident — the kind of person who can engage external stakeholders at any level without ever drawing attention to yourself. You bring genuine energy and warmth to the team. This is not a heads-down back-office seat.
You are service-oriented by instinct. You take ownership of problems rather than passing them on, and you are comfortable wearing more than one hat. You know that in a smaller team, the line between EA work, office work, and IT work is artificial — and you are happy to step across it.
You read a room well and work with the grain of an established team. This is a settled, collegial group with its own way of doing things, so you bring your ideas and improvements quietly and collaboratively rather than looking to overhaul from day one. You are calm under pressure, low-ego, and happy to be the dependable presence behind the scenes.
You are technologically comfortable. You can troubleshoot the everyday issues that come up in a modern office, you pick up new tools quickly, and you are happy to be the go-to person for the team on anything from a stuck printer to a calendar sync issue.
You hold the right to work in Singapore.
Bonus points if:- You have prior experience supporting investment professionals at a PE firm, asset manager, family office, or hedge fund
- You come from a financial services, family office, or fund-operations background and bring strong EA or admin aptitude
- You are familiar with Concur for expense management and SAP
- You have coordinated with external IT vendors on procurement and account management
- You have run business continuity or offsite working setups
- You hold a degree from a recognised institution
- You speak Mandarin in addition to English
