Overview
As a senior member of the Hong Kong Transfer Agency team, you will oversee the end-to-end investor servicing function for a portfolio of hedge fund clients. You will lead a team responsible for managing complex dealing activity, ensuring compliance with regulatory requirements, and delivering exceptional service to fund managers and investors. This role requires strong leadership, technical expertise in hedge fund transfer agency operations, and the ability to operate effectively within a fast-paced, SFC-regulated environment.
Key Responsibilities
Client & Investor Servicing

Oversee day-to-day transfer agency operations for hedge fund clients, including subscription, redemption, transfer, and switch processing.

Review and approve high-value or complex transactions, ensuring accuracy, timeliness, and proper authorisation.

Serve as the primary escalation point for client and investor queries, fund manager requests, and audit matters.

Supervise the generation and review of contract notes, dealing confirmations, investor statements, and transaction reports .

Partner closely with Fund Accounting teams to reconcile investor balances, handle capital activities, and resolve discrepancies related to NAV and share movements.

Ensure the accurate maintenance of investor registers and dealing records in accordance with fund offering documents and internal procedures.
KYC, AML & Regulatory Oversight

Supervise and review investor KYC documentation and ensure compliance with SFC, Cayman, and FATF AML/CFT standards .

Ensure ongoing monitoring, periodic refresh, and enhanced due diligence reviews are completed within regulatory timelines.

Oversee FATCA/CRS reporting requirements and ensure accurate submission.

Liaise with Compliance, Legal, and MLRO to manage higher-risk cases and ensure robust internal controls are in place.
Leadership & People Management

Lead and develop a team of Investor Services professionals, ensuring high performance, strong technical capability, and consistent service quality.

Oversee workload distribution, review performance, and support staff development through regular feedback and on-the-job training.

Champion a client-first, control-focused, and solutions-oriented culture across the team.

Act as deputy to the Head of Investor Services during their absence.
Operational Excellence & Change Management

Identify and implement process improvements to enhance efficiency, control, and client experience.

Lead or participate in projects related to system enhancements, fund launches, and client onboarding.

Establish and monitor KPIs and SLAs to maintain consistent service delivery and operational control.

Collaborate with regional teams in Singapore, Manila, Dublin, and Luxembourg to align global TA standards and best practices.
Credentials & Experience

Minimum 7–10 years’ experience in Transfer Agency / Investor Services , with at least 3 years in a supervisory or management role.

Strong exposure to hedge fund structures , including series accounting, equalisation, side pockets, and share class variations .

Proven experience managing institutional and private client relationships in Asia, including mainland Chinese, Hong Kong, and offshore investors .

Solid understanding of SFC AML/KYC and regulatory requirements , and familiarity with Cayman fund registration and global AML frameworks.

Experience with TA and fund administration systems such as PFS-Paxus, MFACT, Advent Geneva, or equivalent .

Strong communication and stakeholder management skills, both written and verbal.

Fluent in English and Mandarin ; Cantonese a plus.
